This Privacy Policy explains how Juan Reyes Photography (“we," "us," "Photographer") collects, uses, stores, and protects your personal information when you use your online client gallery ("Gallery"), hosted through Pixieset's Client Gallery feature. This policy should be read alongside our Terms of Service.

2. Information We Collect

  • Contact information: name, email address, phone number, and mailing address (if prints or albums are shipped to you).

  • Session/order details: booking information, package selected, communication history related to your session.

  • Payment information: if you make a purchase through the Gallery (e.g., prints, products), payment is processed by Pixieset's payment processor; we do not directly store your full card details.

  • Photographs: the images captured during your session, including any images of you, your family, or other individuals you authorize us to photograph.

  • Technical data: Pixieset may automatically collect standard technical information (such as IP address, browser type, and device information) when you access your Gallery, in accordance with Pixieset's own privacy policy.

3. How We Use Your Information

We use your information to:

  • Deliver, host, and manage your Gallery.

  • Communicate with you about your session, Gallery access, and order status.

  • Process payments and fulfill print/product orders.

  • Provide customer support, including archive reactivation requests.

  • Send occasional marketing emails about promotions, mini-sessions, or new offerings — with an unsubscribe option in every email.

4. Third-Party Service Providers

Your information may pass through the following categories of third-party providers, solely to help us deliver our services:

  • Pixieset — Gallery hosting, image delivery, and payment processing.

  • Print labs / product fulfillment partners — if you order prints, albums, or other physical products.

  • Email/communication tools — if we use a separate platform to send booking or gallery-related emails.

We do not sell your personal information to third parties. Information is shared with service providers only as needed to operate your Gallery and fulfill your order.

5. Photographs as Personal Data

The photographs in your Gallery may constitute personal data (particularly if you or others are identifiable in them). Our use of these images is governed by your signed photography contract and our Terms of Service, including any portfolio/marketing use described there. Aside from that stated use, we do not share your photographs publicly or with third parties without your consent.

6. Cookies & Tracking

Pixieset's Gallery platform may use cookies or similar technologies to keep you logged into your Gallery, remember your preferences, and analyze site usage. We do not control Pixieset's cookie practices directly; you can review Pixieset's privacy policy for details, and manage cookie preferences through your browser settings.

7. Data Retention

  • Contact and order information is retained for as long as needed for business, tax, and legal record-keeping purposes (typically 2 years after your session, per our record keeping practices).

  • Gallery images follow the retention schedule described in our Terms of Service: the Gallery is active for 30 days, may be reactivated once for 48 hours upon request, and is permanently deleted 3 years after archiving if no further request is made.

8. Children's Privacy

We often photograph children as part of family, newborn, or event sessions. This Gallery is intended to be accessed and managed by a parent or legal guardian, not directly by children. We do not knowingly collect personal information directly from children through the Gallery itself; all account and contact information should be provided by an adult.

9. Data Security

We take reasonable steps to protect your information, including relying on Pixieset's platform security measures. However, no online system can guarantee absolute security, and we cannot be responsible for unauthorized access resulting from circumstances outside our reasonable control (see also the Third-Party Platform Disclaimer in our Terms of Service).

10. Your Rights

Depending on where you live, you may have rights regarding your personal information, which may include the right to:

  • Access the personal information we hold about you.

  • Request correction of inaccurate information.

  • Request deletion of your information (note: this may affect our ability to provide Gallery access or fulfill outstanding orders).

  • Opt out of marketing communications at any time.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted with an updated "Last Updated" date. Material changes will be communicated to you directly where appropriate.
